Privacy Notice

This Privacy Notice explains how Philip Phillipou, trading as BenchBoss ("BenchBoss", "we", "us"), handles personal data when you use the BenchBoss squad management application. Philip Phillipou is the data controller for the personal data described here and decides why and how it is processed. You can contact us at coach@mindsightsport.com.

Personal data we collect

• Account data — name, email address and login credentials (managed by our authentication provider).
• Squad data you enter — player names, dates of birth or age brackets, positions, availability, injury and trial status, performance stats, and notes from coach–player conversations.
• Assessment responses — answers submitted by players through self-assessment links you share.
• Support messages — the content of any email or message you send us.
• Usage and technical data — log data, device and browser information, IP address, and basic telemetry about how the app is used.

Why we use it and our legal basis

• Providing the service (account creation, storing your squad, formations, schedules and stats) — performance of our contract with you.
• Security and fraud prevention (abuse detection, access logs) — our legitimate interest in keeping the service safe.
• Customer support — performance of our contract and our legitimate interest in helping users.
• Product improvement (aggregate usage analysis) — our legitimate interest in improving BenchBoss.
• Service and marketing emails — contract performance for essential emails; consent for optional marketing, which you can withdraw at any time.
• Legal and accounting obligations — compliance with a legal obligation.

If you upload data about other people (for example, players in your squad), you are responsible for having a lawful basis to do so and for informing them where required.

Who we share data with

• Service providers / subprocessors — hosting, database, email delivery and analytics providers who process data on our instructions.
• Merchant of Record — Paddle.com Market Ltd, which sells our subscriptions and handles payments, subscription management, invoicing, tax compliance and refunds. Payment details are collected and processed by Paddle, not by us.
• Professional advisers — legal and accounting advisers where necessary.
• Authorities — where required by law or to protect our legal rights.

We do not sell personal data.

International transfers

Some of our providers are located outside the UK/EEA. Where data is transferred internationally we rely on appropriate safeguards, such as UK/EU Standard Contractual Clauses or an adequacy decision.

Retention

We keep account and squad data for as long as your account is active. If you delete your account or ask us to delete your data, we remove or anonymise it within a reasonable period, except where we must keep records for legal, tax or accounting purposes. Backups are overwritten on a rolling basis.

Your rights

Subject to applicable law, you have the right to access your personal data, correct inaccurate data, request erasure, restrict or object to processing, request portability, and withdraw consent where processing is based on consent. Email coach@mindsightsport.com and we will respond within one month. You also have the right to complain to your local data protection supervisory authority.

Security

We use appropriate technical and organisational measures to protect personal data, including encryption in transit, row-level access controls in our database so each coach can only see their own squad, and restricted administrative access. No system is completely secure, but we review our controls regularly.

Cookies

BenchBoss uses essential cookies and local storage to keep you signed in and remember your active team — these are required for the app to work. Our checkout provider may set cookies needed to complete a purchase. We do not use advertising cookies. You can clear or block cookies in your browser settings, though signing in will no longer work.

Changes

We may update this notice from time to time. Material changes will be announced in the app or by email, and the "last updated" date above will change.
